ECI FOUNDING FELLOWSHIP GUIDELINESIn line with the EORTC strategy for abstract review, QLG members must submit their abstracts (that they wish to present “on behalf of the EORTC QLG”) for review by the Executive Committee (EC), before their submission to a meeting/conference.
The EC reviews the abstract to check that it is line with the well-established processes and strategy of the group and the EORTC overall.
The reviewers will confirm whether the abstract is endorsed by the QLG and its presentation on behalf of the group is supported; they will also share any comments for the authors to integrate into the abstract before its submission to the meeting/conference, if applicable.
Sharing your abstract in due course also allows the Communications team to plan the promotion of the abstracts in a timely manner, and thereby to raise the visibility of the work from the QLG.
Please submit your abstract to this email address at least one week before the conference submission deadline, to allow enough time for review.No, computer hardware is not permitted as a budget item. Institutions are expected to use overhead costs to provide computers for employees funded through the grant.
In general, collaborators are not expected to request salaries. Salary requests are limited to dedicated study coordinators. Collaborators are recognised indirectly through authorship and/or per-participant payments, depending on their contributions.
I am a Principle Investigator and would like to pay out per-participant payments to my collaborators
Per-participant payments are paid out to all collaborators after enrolment is complete in a project. By waiting until enrolment is closed, we can avoid misunderstandings about total amounts available to each collaborator.
If you are the principle investigator and would like to start paying out your collaborators. Please complete an Excel file with a table showing:
- Each collaborator, their institution, the number of patients enrolled and the total euro amount available to each collaborator.
Then send the file to the QLG Treasurer and let him/her know that you are ready to start paying your collaborators. The Treasurer will use this table to approve invoices as they arrive.
Please then let your collaborators know it is time to submit invoices for their per-participant payments! They can have their institution create an invoice for the amount they are entitled to. It is a good idea to give them a deadline to claim the payments (this can be generous, several months or so if you like), and you can direct them to the QLG website section “I would like to request per-participant fees to my institution” if they have questions about what should be on the invoice.
Members of the EORTC Quality of Life Group (QLG) make important and final decisions regarding the work related to the Group.
Any member of the EORTC QLG who attends the QLG meetings (at least two meetings in two years) and is actively involved with some of the QLG research activities is eligible for election to the QLG Executive Committee (EC).
The EC Roles of Chair, Secretary and Treasurer are for senior members of the Group only.
Elections are conducted through a transparent process in which all EORTC QLG active members are included. The Election procedure is guided by the EORTC QLG Secretary, except if the role of EORTC QLG Secretary is being elected. In that situation the election procedure is guided by the EORTC QLG Chair.

DOWNLOAD INFOPayment for expenses you are entitled to claim from the QLG can be initiated with the following two forms. One form is for travel expenses and the other is for any other expense. For any hotel or transportation costs, please provide copies of the actual hotel invoice/ticket (including boarding passes for flights) and not just the confirmation of booking. Please also provide copies of bank statements showing the expenses were paid from an account in your name whenever possible.
DOWNLOAD FORM travel expensesNote that as of fall 2025, per-patient payments cannot be used to claim travel to QLG meetings directly from the EORTC. Instead, have your institution send an invoice for the full amount of per-patient payments owed, and then claim your travel expenses through your institution. - The name of the researcher there,
- The maximum number of patients to be included and the corresponding euro amount
- The name of the person with signing authority for the institution
- An email address for a person or department responsible for data privacy at the institution.

The QLG encourages group members to submit their manuscripts “on behalf of the EORTC QLG”. This means that the group endorses and supports the publication. Practically, the Executive Committee will review the manuscript before submission, to check that it is line with the well-established processes and strategy of the group, as outlined in the Manuals here.

EORTC QLG meetings are organised twice a year: one in Spring and the second one in Autumn. The host of the EORTC QLG meeting can be any member of the EORTC QLG who attends the QLG meetings (at least two meetings in two years) and is actively involved with some of the QLG research activities.
Potential hosts need to express their interest in hosting the EORTC QLG meeting to the EORTC QLG Secretary. There should be a written expression of interest sent to the EORTC QLG Secretary’s email. The written interest should be accompanied by brief instructions on how to reach the proposed meeting city/country (via train, plane, car…) and if possible, aligned with the environmental concerned issues.

The deadline for submitting the Short Outline for New Projects, for researchers who wish to present their research idea for endorsement at the next QLG meeting (September 25 – 26, 2025), is August 11, 2025.
