• Members of the EORTC Quality of Life Group (QLG) make important and final decisions regarding the work related to the Group.

Any member of the EORTC QLG who attends the QLG meetings (at least two meetings in two years) and is actively involved with some of the QLG research activities is eligible for election to the QLG Executive Committee (EC).

The EC Roles of Chair, Secretary and Treasurer are for senior members of the Group only.

Elections are conducted through a transparent process in which all EORTC QLG active members are included. The Election procedure is guided by the EORTC QLG Secretary, except if the role of EORTC QLG Secretary is being elected. In that situation the election procedure is guided by the EORTC QLG Chair.

For more information about the election procedure protocol, please refer to the related document available here.

Please note that per-patient payments that are not being used to cover travel to a QLG meeting can only be made based on an invoice issued from the institution where the patients were enrolled. The instructions for the information needed in the invoice are listed in the pdf document here. If you want to use your per-patient payments to cover expenses related to travel to a QLG meeting, please see the section “I would like to ask for a refund of my expenses to my personal account”

  • Payment for expenses related to QLG events can be made using this form:

    DOWNLOAD FORM

You must indicate which project you would like to have the expenses charged against, and there is a field for this on the form. Note that per-patient fees are only available for pay out once a project has finished patient enrolment and the PI has sent a list to the Treasurer containing the amounts each collaborator in the project is entitled to. If you are a member of the executive asking for expenses related to a QLG meeting or an executive meeting, or you are the official liaison for a DOG asking for expenses related to attending the other group’s meeting, you don’t need a project number and can just check one of the two boxes for this on the form.

  • Collaborators can work without extra contracts or simply with a memorandum of understanding. This is the best and most common option.

However, if the collaborator’s institution requires a contract, then the treasurer can prepare it.

Please note: A collaborator contract can only be finalised after the main contract is ready and signed.

  • The QLG encourages group members to submit their manuscripts “on behalf of the EORTC QLG”. This means that the group endorses and supports the publication. Practically, the Executive Committee will review the manuscript before submission, to check that it is line with the well-established processes and strategy of the group, as outlined in the Manuals here.

  • Please contact Amy Thomas, Assistant to the QLG Chair, here.

  • EORTC QLG meetings are organised twice a year: one in Spring and the second one in Autumn. The host of the EORTC QLG meeting can be any member of the EORTC QLG who attends the QLG meetings (at least two meetings in two years) and is actively involved with some of the QLG research activities.

Potential hosts need to express their interest in hosting the EORTC QLG meeting to the EORTC QLG Secretary. There should be a written expression of interest sent to the EORTC QLG Secretary’s email. The written interest should be accompanied by brief instructions on how to reach the proposed meeting city/country (via train, plane, car…) and if possible, aligned with the environmental concerned issues.

For more information please refer to the ‘Protocol for hosting EORTC QLG meetings’ document, available here.

  • The deadline for submitting the Short Outline for New Projects, for researchers who wish to present their research idea for endorsement at the next QLG meeting (March 21 – 22, 2024), is January 21, 2024.

The Short Outline for New Projects can be obtained by sending an email to pmdc(at)eortc(dot)org.
